What patients see when they log into your portal, and how you control it.

The patient portal, explained

The patient portal is a separate, branded site at /p/your-clinic-slug (or your custom domain). Patients log in there to:

  • Book and manage appointments
  • Fill out intake and follow-up forms
  • View and download documents you've shared
  • Message your team
  • Pay invoices and see receipts
  • Join telehealth visits

It runs on your branding from 🌐 Websites — your logo, colors, and copy. Patients never see the ApexMentum app itself.

How patients sign in

Two paths:

  • They register themselves from your portal's booking page. The system creates a patient record, prompts them to set a password, and books their slot.
  • You create their record manually (or import them) and send them a portal invite. They receive an email with a one-time link to set their password.

What you control from Portal Settings

In the sidebar, click 🏥 Patient Portal to open Portal Settings. Here you can:

  • Enable or disable self-registration. Turn this off if you only want to onboard patients yourself.
  • Customize the booking flow. Pick which appointment types patients can self-book.
  • Choose what's visible. You decide whether patients can see documents, forms, or messages.
  • Set policy copy. Add your cancellation policy, terms, and intake instructions.

What patients can do day-to-day

Once they're logged in, patients see a simple dashboard:

  • Upcoming appointments with a Join button for telehealth visits.
  • Forms to complete — anything you've assigned to them.
  • Messages — a thread with your team.
  • Documents — anything you've shared, plus uploads from them.
  • Payments — invoices and receipts.

Privacy and security

  • Each portal is sandboxed to its clinic — patient A in clinic X can never see patient B in clinic Y.
  • Portal logins are separate from staff logins, with their own password policy.
  • Patients can update their own demographics, but cannot see chart notes or staff messaging.
