Viewing your payouts and reports
ApexMentum gives you a high-level revenue view, and Stripe handles the granular accounting. Use both — each has its strengths.
In ApexMentum
Patient Payments
Financial → Patient Payments (Stripe) lists every charge, refund, and dispute on your account. You can:
- Filter by date range, status, or patient
- Click any payment for full detail
- Export as CSV for your accountant
Revenue & Commission
Financial → Revenue & Commission rolls payments up by:
- Day, week, month, year
- Provider (so you can see how much each practitioner generated)
- Appointment type
- Patient
Useful for compensation calculations if you pay providers a percentage.
Apexmentum Billing
Financial → Apexmentum Billing is the other side — what you owe us for the platform. This shows your SaaS subscription tier, current period, and any prior invoices.
In Stripe
Your Stripe dashboard (separate login, at dashboard.stripe.com) is the source of truth for:
- Payouts — when money actually hit your bank, with full detail on which charges contributed
- Balance — your pending balance, available balance, and reserve (if any)
- Disputes — the formal interface for responding to chargebacks
- Reports — Stripe's tax reports, balance change reports, and detailed exports
To open Stripe directly from ApexMentum, click Open Stripe dashboard → on the Patient Payments page.
Reconciling
For accounting purposes, the cleanest reconciliation pattern is:
- Pull the Stripe Payouts report for the period (e.g. last month).
- Pull the ApexMentum Patient Payments CSV for the same period.
- The Stripe payouts total should match the ApexMentum gross revenue minus Stripe processing fees minus the ApexMentum 2.9% platform fee.
If you use accounting software (QuickBooks, Xero, Wave), most of them have a Stripe integration that imports payouts automatically — that's the easiest path.
Tax season
For 1099-K purposes, Stripe issues the 1099-K to your business (not ApexMentum), since payments are processed through your connected Stripe account. You'll find the 1099-K in your Stripe dashboard under Tax forms in late January each year.
When something looks off
If the numbers don't match what you expect:
- Check the date range — Stripe uses calendar months by default, ApexMentum lets you pick any range.
- Check for refunds and disputes that may have netted out a charge.
- Check that all your providers are in the report (not filtered).
