Uploading an existing audio file

You don't have to record inside the app. If you already have an audio file — from a phone recorder, Zoom, dictation app, or anywhere else — drop it on OneAudio and we'll process it exactly like a live recording.

1. Your own recorder row (everyone)

At the top of the OneAudio page, the recorder area accepts drag-and-drop:

  1. Drag your audio file from Finder / Explorer onto the recorder row.
  2. A teal border appears with "📥 Drop audio to upload".
  3. Release. Upload starts immediately.

You can also click the 📁 Upload file button to open a file picker.

2. "Upload for staff" card (managers only)

Managers, clinic admins, and superadmins see a "👥 Upload audio or transcript for a staff member" card near the top of OneAudio. It works two ways:

  • Drop on the collapsed card. The ambient "📥 drag & drop audio here" pill on the header shows where. Drop a file, the card auto-expands and then asks you for:
    • Staff member (who this belongs to)
    • Interaction type
    • Title (optional)
  • Click to expand first, then drop or click. The expanded card has a dashed drop-zone that also opens the file picker on click.

The recording lands in the target staff member's OneAudio locker as if they recorded it themselves. The audit log preserves who actually uploaded it.

What we accept

  • Formats: mp3, m4a, wav, ogg, webm, mp4, aac, flac
  • Size: up to 2 GB per file
  • Duration: no limit (long files just take longer to process)

Files larger than 8 MB upload directly to storage (bypasses the app's normal upload path), so a 500 MB file works just as well as a 5 MB one.

Common issues

  • "Unsupported file" — the browser didn't detect the audio type; rename the file to have a clear extension (.mp3, .m4a, .wav) and try again.
  • Upload stalled at 100% — this is normal for large files while we finalize; leave the tab open ~30 seconds.
  • Wrong staff member selected — no fix in the UI yet; message support and we'll reassign the recording.
